WhatsApp vs WhatsApp Business vs the API: which one do you need?

WhatsApp is built for personal chats, the WhatsApp Business app adds free tools for small businesses, and the WhatsApp Business Platform (API) is for automation, teams and scale. They look alike in a chat, but they differ on features, limits, costs and even the rules for your phone number. Here's a plain comparison, who should use which, and how to switch.

WhatsApp vs WhatsApp Business: what's the difference?

The difference between WhatsApp and WhatsApp Business is who they're for. WhatsApp (officially WhatsApp Messenger) is the free personal app. WhatsApp Business is a separate free app for small businesses, adding a business profile, catalog, greeting and away messages and quick replies. The WhatsApp Business Platform, or API, isn't an app: it's how software sends messages for a business.

In a chat, the difference is small. Customers see your business name and profile instead of a personal one, and messages work the same way. The bigger differences are the rules behind each option:

  • WhatsApp Messenger is for personal communication.
  • WhatsApp Business is designed for communicating with customers, under the WhatsApp Business app terms.
  • The WhatsApp Business Platform adds Meta's messaging policies: opt-in before you message people, approved templates outside the 24-hour customer service window, and per-message pricing.

The short version: WhatsApp for people, the Business app for businesses that answer chats by hand, and the API for businesses that need messages to happen automatically, at volume or across a team.

WhatsApp Business features in 2026

The WhatsApp Business app has grown well beyond an away message. Current WhatsApp Business features include:

  • Business profile: address, hours, email, website and a description.
  • Catalog and collections: products or services with images, descriptions and, in some countries, prices.
  • Lists (formerly labels) to organize chats and customers.
  • Greeting and away messages plus up to 50 quick replies. See our WhatsApp auto reply guide.
  • Business broadcasts (paid, in some countries): promotions to customers who haven't saved your number, which you can schedule.
  • Ads that open a WhatsApp chat, created from inside the app.
  • Channels and Status for public updates.
  • Linked devices: one phone plus up to four other devices, including WhatsApp Web.
  • Usernames (rolling out): an @handle customers can use to message you.
  • Meta Verified (paid subscription): a verified badge and extra support.
  • Meta Business Agent (limited countries): an AI assistant that answers customers for you.

A few things the Business app can't do that the personal app can: it can't hold two accounts in one app, and it can't currently create communities.

WhatsApp Business app vs WhatsApp Business API

WhatsApp's Help Center draws the line by size: the Business app is for small businesses talking to customers from a single device, while the WhatsApp Business Platform is for medium and large businesses handling high volumes of conversations. In practice, the switch comes when manual work stops scaling:

  • Automation. Order confirmations, shipping updates, appointment reminders and cart reminders sent by triggers, not by hand.
  • AI and a team inbox. A chatbot answers first, and several people handle the rest from one shared inbox.
  • Reach. Messages to opted-in customers who never saved your number, with delivery and read reporting.
  • Integrations. Your store, CRM or booking system triggers and personalizes messages.

The API comes with rules. Messages outside the 24-hour customer service window must use Meta-approved templates, recipients must have opted in, and a new business portfolio can message 250 unique people per 24 hours outside open conversations until it scales up. Meta bills each delivered template message by category and country, and from October 1, 2026 it also bills replies inside the 24-hour window beyond 1,000 free per phone number each month. The WhatsApp Business API guide covers requirements and setup, and the pricing guide covers costs.

You don't have to give up the app. With coexistence, one number runs on the Business app and the API at the same time. Messages you send from the app stay free, and up to six months of chat history syncs. Some app features change: broadcast lists become read-only; disappearing messages, view once and live location are turned off in one-to-one chats; and throughput is fixed at 20 messages per second.

Can I use WhatsApp Business for personal use?

Technically, yes. WhatsApp Business does everything the personal app does, from chats and groups to calls, and some people run it as their only WhatsApp. But it isn't designed for that:

  • WhatsApp's Help Center describes the Business app as built for business communication with customers and Messenger for personal communication, and it says there's no need for the separate app if you're not a business.
  • Contacts see your profile as a business account.
  • The Business app terms apply to how you use it.
  • Some Messenger features are missing, such as holding two accounts in one app or creating a community.

To keep work and personal chats apart on one phone, use two numbers: WhatsApp for personal chats and WhatsApp Business for work, with a dual SIM or an eSIM.

Can you use WhatsApp and WhatsApp Business on the same number?

Not at the same time. WhatsApp's Help Center is direct about it: WhatsApp Messenger and WhatsApp Business are two different apps, and you can't use the same phone number with both simultaneously. You can move a number from one app to the other, and you can run both apps on one phone with two different numbers.

WhatsApp Messenger can also hold two accounts in one app, each with its own number, but account switching isn't available in the Business app.

The exception is the API. Through coexistence, the same number can run on the WhatsApp Business app and the WhatsApp Business Platform together. That's how businesses add automation without changing the number customers already know.

How to switch between WhatsApp and WhatsApp Business

From WhatsApp to WhatsApp Business:

  1. Back up your chats, and save any contacts stored only inside WhatsApp to your phone's address book, because the Business app doesn't support WhatsApp contacts yet.
  2. Install WhatsApp Business. It detects the number you use in WhatsApp.
  3. Tap the option with your number, then Continue › Allow to bring over your chat history and media.
  4. Enter the six-digit code WhatsApp sends by SMS.
  5. Set up your business profile.

From WhatsApp Business back to WhatsApp: back up your chats (to your Google Account on Android or iCloud on iPhone), install WhatsApp Messenger, verify the same number and restore the backup. Chats move across, but Business-only data such as your catalog and collections doesn't.

From the Business app to the API: connect through a platform using Meta's Embedded Signup and choose to connect your existing WhatsApp Business app account. With Recoverly it takes about two minutes, and the app on your phone keeps working.

Which one should you use?

  • Personal use only: WhatsApp Messenger.
  • A solo business or small team answering chats by hand: the WhatsApp Business app. It's free, and greeting messages, away messages, quick replies and a catalog cover the basics.
  • A business with repeat messages to send (order updates, reminders, abandoned carts, lead follow-ups), more than one person answering, or customers arriving from ads and websites: the WhatsApp Business Platform, through a platform that handles templates and consent. Keep the Business app on the same number with coexistence.

Recoverly is that platform for businesses of any size: a web app for any industry (in early access) and a Built for Shopify app rated 5.0. The Free plan includes a WhatsApp chat widget, Lite at $19 a month adds the automation builder, AI chatbot, shared inbox and broadcast campaigns, and Pro at $49 a month adds integrations and priority support. There are no message caps, and Meta's fees are billed at cost. See pricing or get started.
